The Volunteer Services/Gift Shop Coordinator works closely with the department leader to support the goals of the Volunteer Department through effective operational coordination, communication and upholding of departmental and facility standards.

The Gift Shop Coordinator is responsible for daily operations and training and scheduling of gift shop volunteers. Maintenance of inventories in a web-based register system.  Each position is expected to function effectively with minimal supervision.

Employment Qualifications

  • High school diploma or equivalent.
  • Work requires excellent customer service skills and experience with diverse populations. Must be well organized and have strong attention to detail.
  • Previous experience with volunteers preferred. Experience in retail a plus. 
  • Work requires excellent written and verbal communication skills. 
  • Ability to work independently with little supervision and ability to multitask.   
  • Work requires proficiency in Microsoft Office software, email, and any other electronic equipment necessary for communication. 
  • Ability to work effectively with a diverse population required. 
  • Bilingual skills a plus. 

Volunteer Services functions:

Works one day weekly in Volunteer Services. Provides office support for Volunteer Services in an efficient, timely and professional manner to  include assisting with maintaining and updating volunteer data base. Copies, faxes, and prepares forms, tables, charts, records, and reports, and formats presentations as requested. Assists in the upkeep of volunteer files and materials and ensure that all regulatory required materials are contained therein. Composes and/or reviews correspondence to ensure proper format and typographical accuracy Coordinates and completes mailings as needed Answers telephone and responds to requests as needed.   Takes initiative to problem solve office, volunteer and program-related issues. Assists in coordination of application processing including preparing reference requests. Rounds on volunteers as directed by supervisor. Supports the creation of monthly volunteer schedules Coordinates substitutes for volunteers that are absent or unable to find replacements. Provides general information and coaching for front desk volunteers.

Gift Shop functions:

Works 4 days weekly performing gift shop functions; performs reconciliation procedures: drawer count and settle daily transactions to the register close out report. Provides assistance and support to volunteers to use the register system, as well as training in good customer service skills. Enters and maintains all inventories for gift shop in Light speed. Maintain schedule for Volunteer gift shop staffing. Merchandising of sales floor under the direction of Director. Assist Director with Employee deduction transactions. Place orders for merchandise such as candy, balloons, plush, etc. Assists Retail Director with developing attractive window displays. Runs monthly reports as requested by director.
